Answers To Look For
1) Do you shred our documents on-site or off-site?
Why it matters – off-site means your papers are taken back to a warehouse, and typically stored, hand-sorted and eventually shredded. There are many opportunities for others to view the documents. IntelliShred shreds your documents at your location in our state-of-the-art truck, and you can watch the process on a TV monitor. The bottom line – when we leave your site you know your documents and products have been destroyed.
2) Do you shred products as well as paper?
Why it matters – computer hard drives, CD's and DVD'S, X-rays, microfilm all hold enormous amounts of confidential information and should be destroyed, not thrown away. IntelliShred destroys them with our shredding machine that reduces them to the same small particles that the paper shredding process produces.
3) Is the quote you provide guaranteed to be the final price?
Why it matters – IntelliShred quotes are final. There are no additional charges such fuel surcharges or hidden fees that other companies may add.
4) Do you have guranteed on-time service?
Why it matters – with IntelliShred, our regularly scheduled service is guaranteed to be on-time, or you don't pay. It gives you peace of mind – something your document shredding company should offer.
5) Do you have NAID security rating and what is that rating?
Why it matters – the National Association for Information Destruction (NAID). NAID acts as an independent, nationwide, auditor, verifying compliance for a secure destruction. They award their highest rating to only a select few companies that meet their stringent security standards. IntelliShred has obtained a AAA Certified rating – the highest certification possible, a rating that only 1 in 4 companied receives. The presence and level of NAID certification may be the single most important consideration in your company selection process.
6) With regularly scheduled service – does your company adjust your pricing container count based on actual usage?
Why it matters – with IntelliShred's regularly scheduled service your usage is monitored on every visit with a hand-held computer. A usage receipt is printed for you each time. The data is downloaded into our computer system and your usage is tracked over time. If you are not fully utilizing your containers, we'll either reduce the number of security containers at your office, or adjust the service frequency – both of which can save you money. If a document shredding company doesn't offer track your usage, you may be overpaying.
7) Are the security containers you provide us double-baffle?
Why it matters – security containers have an opening into which you place your documents. A baffle in the container makes it difficult to see or reach into the container. Many companies offer single baffle containers and it is possible to see past the baffle and read information on documents, it's also possible to remove documents when the paper level is high. IntelliShred uses double-baffle security containers making it virtually impossible to see or remove documents no matter how high the paper level is. This subtle, but important difference can compromise the security of your documents. You should have double-baffle containers, not single baffle.
8) Are your Service Representatives Certified and what is that Certification process?
Why it matters – IntelliShred certifies it's Service Representatives using a process approved by NAID (National Association for Information Destruction). Our drivers undergo an 82 hour training process before they are allowed to service a customer alone, and are subject to random drug testing and continuous appearance and behavior standards. Service Representatives are the front line in the shredding business. Their certification, training, and conduct are vital to a dependable, secure, and confidence inspiring shredding service.
9) What amount (in dollars) of General Liability insurance do you carry?
Why It Matters – the unexpected and unpredictable can happen – the question is what level of General Liability insurance protection is available if the unthinkable does happen? IntelliShred carries $8,000,0000 general liability insurance – 8 times more than the industry average. In today's litigious world if the unthinkable does happen – you are 100% covered. Many companies carry only $1 million in coverage – and that may not be enough.
10) Do you have Errors & Ommissions insurance?
Why it matters - Errors and omissions insurance is business liability insurance for business professionals. An error or omission, a mistake, which causes financial harm to another, can occur on almost any transaction in any profession. This type of insurance helps to protect a professional, an individual or a company, from bearing the full cost of defense for lawsuits relating to an error or omission. This is a separate coverage from a standard general liability or property insurance policy. IntelliShred has Errors and Ommission Insurance – many document destruction companies do not.
